We have an exciting opportunity in Calgary, Alberta! Our client is seeking an energetic Events Coordinator to oversee a premium residential community. The incumbent will strive to promote the amenities within the facility while building strong relationships with the tenants through creative programs and events.

Core hours are 8am to 430pm, Monday to Friday. Occasional weekends for events and programs.

DUTIES & RESPONSIBILITIES.

Event Management
· Coordinate bookings for events, conferences, and private function.
· Ensure all scheduled functions take place without incident.
· Prepare monthly reports on facility usage and financial reports which include budget variance and summary reports.
· Complete event and petty cash reconciliations as required, by event and on a monthly basis.
· Ensure security staff receive training on event management and assist with the training of security personnel as required for after hours follow up.
· Plan and promote ongoing activities and social events for Tenants.

Operations
· Adhere to and manage procedures for amenities usage.
· Oversee and deploy contractors to address any maintenance related matters.
· Procure services contractor services which include fitness instructors, facilitators, and trades.
· Create work orders for maintenance staff where required.
· Prepare monthly reports on facility usage and financial reports which include budget variance and summary reports.
· Attend regular meetings with the operations team ensuring facility requirements of the amenities are being addressed.

Communications & Marketing
· Promote the retail services and amenities at site.
· Prepare monthly newsletter and calendar.
· Assist marketing team by managing the company website and social media accounts.

PREREQUISITES
· 3 years experience in coordinating events and marketing.
· 2 years scheduling experience
· 2 years procurement and vendor management
· High school diploma or equivalent; Bachelor’s degree preferred.
· Strong Excel, PowerPoint, and Word
· Experience in Adobe Creative Studio or other design programs an asset
